How to get tooled up for workplace communication in a changed work environment

How has your communication been lately? Difficult, or easier than expected?

The situation we find ourselves in I think we can all agree is something out of the ordinary. Almost everyone with an office job has to work from home – which in this situation is something quite different than just working remotely.

The way we communicate has changed drastically in the last year. New tools and communication methods have been tested, and many companies have seen the benefits different tools can have in the way they communicate - both for internal and external communication. For some, the new solutions might not be optimal, and as we continue to work remotely, we can all agree that having the right tools set up is more important than ever.

Bringing new communication tools into your workplace toolbox

Some companies have realized that there are ways to make things work almost as normal - even if we can't meet each other face to face. A good example is how people that are used to spending time and funds on traveling to physical client meetings now have seen the real benefits of video conferencing - something that can help both the efficiency level and economy of the company, but also the climate if they decide to continue with this digital solution.

While we are waiting for things to normalize, it can be worthwhile looking into tools and solutions that can help us communicate better. It could be tools that help communicate better internally with your team, or that make your external communication more efficient.

How can we optimize our wokplace toolbox for better communication?

  • Take advantage of temporary free trials: Many tools have opened up for free use for a certain time period or opened up free use of features that usually are behind a payment wall. Take the time to investigate what tools you could benefit from using right now, but that can also be valuable to use in the future. 

  • Hear what has worked well for other employees or teams: Talk to employees to hear what they have to say. What tools have helped their communication efforts? Or what would they like to test? Maybe they have tested or heard of something that could be beneficial for more people in the company.

  • Figure out what consumers prefer: If you want to improve customer or prospect-communication, take the time to figure out what is the best way to reach them today, but also in the future. Rely on the assumption that many will take new communication and consumption efforts with them for the future.

  • Keep in mind that information overload can be stressful, so consider which communication needs to happen "live" in a synchronous manner such as video conferencing - versus what is better consumed asynchronously - such as with video creation, Slack, email etc.

 

Some communication tools that can be useful:

Internal communication tools: Using a chat app within your organization is great for effective communication and collaboration. An example is Slack, that also integrates with a lot of other applications.

Project Tools: Having a good project tool can easily give you a good overview of a project your team is working on.
